Leave-of-absence semester

Students who are prevented from participating in their regular course of study due to important reasons will generally be granted a leave of absence for up to six semesters.

Leave of absence

Leave-of-absence semesters do not count toward the overall number of subject-specific semesters. Therefore, students cannot complete any coursework or take any examinations during their leave of absence at the university which granted them the leave of absence in the first place (exceptions: maternity, parental or caregiver leave).

Applying for leave of absence

Please note: A request for a leave of absence (e.g. due to a yearlong study abroad program or an extended parental leave) must be filed for each semester separately!

Application deadlines

In general, you must submit your request for a leave of absence by the specified deadline

  • for the winter semester – by 30 October at the latest
  • for the summer semester – by 30 April at the latest.

Only in instances in which the significant reason for the leave of absence does not become apparent until later, and which could not have been anticipated any earlier, may the request be submitted

  • for the winter semester – by 5 December at the latest
  • for the summer semester – by 5 Jun at the latest.

A retroactive leave of absence cannot be granted for any previous semesters, even due to a proven illness.

Please note: Failed examinations, or those considered as failed, must be retaken by the specified deadline – regardless of the leave of absence or the reason for it. A leave of absence does not nullify the deadline. Cases in doubt must be resolved in cooperation with the relevant examination office.

Fees and continuation of registration

The student service fees for the Studierendenwerk (Munich Student Union) must already be paid in full and credited to your fee account for the respective semester. The continuation of registration for that particular semester must already be completed in its required form and by the specified deadline, as well as approved!

Using the online self-service functions, students may verify their current account balance.

Reasons for granting a leave of absence

A leave of absence due to illness will only be granted if according to a physician the student is unable to attend the lecture period for at least six weeks.

Please submit the following documents:

  • Leave of absence request form (PDF, 146 KB)
  • Medical certificate (if your illness extends beyond the standard length of study: an extensive medical report) covering the entire period of illness issued by a specialist (a copy)

A leave of absence due to a study abroad program will only be granted, if students provide proof of registration and enrollment at a university abroad, if students want to improve their foreign language skills as part of their language degree program at an educational institution abroad or if they are participating in an intercultural study project coordinated by an institute at LMU Munich (please submit the confirmation issued by the institute).

Please submit the following documents:

  • Leave of absence request form (PDF, 146 KB)
  • for the first semester of a study abroad program: notification of admission or letter of acceptance issued by the university abroad (a copy) and a German translation, if applicable (students may translate the document themselves)
    If your study abroad program is being organized by the Erasmus Program, a confirmation issued by the International Office at LMU Munich will suffice!
  • for the second semester of a study abroad program: the original registration certificate issued by the university abroad (a copy) and a German translation, if applicable (students may translate the document themselves)
  • to improve your foreign language skills: the confirmation issued by the educational institution abroad (a copy), (students may translate the document themselves)
  • for an intercultural study project: the confirmation issued by the institute at LMU Munich, which is coordinating this intercultural study project (a copy)

Students registered for the teacher education program, who are majoring in one or two modern languages, may request a leave of absence due to their participation in a program abroad as a foreign language assistant (assistant teacher).

Please submit the following documents:

  • Leave of absence request form (PDF, 146 KB)
  • Confirmation of acceptance (a copy) issued by the school abroad indicating the entire duration of the assignment and a German translation, if applicable (students may translate the document themselves) or a confirmation (a copy) issued by Pädagogischer Austauschdienst.

In general, voluntary internships should be completed during the lecture-free period. Therefore, a leave of absence due to the completion of a voluntary internship will only be granted if students provide suitable evidence that their internship can only be completed during the lecture period. The internship must take place for a minimum of nine weeks during the lecture period. A leave of absence will only be granted during the standard period of study!

A confirmation must be submitted stating that the voluntary internship is either required with regard to the degree pursued or that it primarily serves as a means for entering the workforce.

  • Students who intend to pursue subject-related voluntary internships should contact their respective academic counselor.
  • Students who intend to pursue non-subject-related voluntary internships should contact LMU Career Services. Please clarify in advance with your academic counselor as to whether the intended voluntary internship is in fact non-subject-related.
  • Students pursuing a degree in Business Administration should always consult with the Information and Service Center ISC.

A leave of absence cannot be granted to students registered for a doctoral degree program.

A leave of absence due to maternity or parental leave will be granted in accordance with the relevant regulations of the Maternity Protection Act (Mutterschutzgesetz (MuSchG)), and the Federal Parental Allowance and Parental Leave Act (Bundeselterngeld- und Elternzeitgesetz (BEEG)), as amended.

A leave of absence due to maternity leave may be requested for up to one semester, and due to subsequent parental leave until the child completes his or her third birthday, according to BEEG. A leave of absence due to parental leave for a foster or adopted child may be taken for a total of three years from the date the child was first taken into care until he or she completes his or her seventh birthday, at the latest. As far as international students are concerned, the law in the parents‘ home country determines the legal relationship between the parents and their child (please provide a German translation of relevant proof regarding parental rights).

Parents may also request parental leave at the same time, each parent for up to a maximum of six semesters per child. Upon request, a portion of up to 12 months of these three years maximum of parental leave may be deferred to the time before the child completes his or her eighth birthday.
For children born on or after 01 July 2015, a portion of up to 24 months of these three years maximum of parental leave may, upon request, be deferred to the time before the child completes his or her eighth birthday.

In accordance with Art. 93 sec. 3 of BayHIG, students may complete coursework or take examinations regardless of their leave of absence due to maternity or parental leave. Examination deadlines are null and void. Deadlines to retake a previously failed examination are still binding despite a leave of absence. (According to Art. 93 sec. 3 of BayHIG). Therefore, please file a request with the examination office to extend the date by which you must retake your examination.

Students registered in degree progams with state examinations must consider that, in order to receive approval to take the final examination, they must complete a minimum number of semesters.

  • during the time of maternity protection: a confirmation indicating the estimated date of delivery (e.g. a copy of the Maternity health record or medical certificate)
  • after the child’s birth: the child’s birth certificate (a copy)
  • a comprehensive confirmation of residence issued by the Resident’s Registration Office stating that the student requesting the leave of absence lives in the same household with the child. The confirmation cannot be older than 6 months (a copy)

Please note: Each time a request for a leave of absence is submitted, the required documents must be re-submitted in their entirety.

During the leave-of-absence semester due to the exceptional burden of care-giving responsibilities for close relatives, students may complete coursework and take examinations. This kind of leave of absence is not limited to six semesters in accordance with Art. 93 sec. 3 of BayHIG. Further legal bases are the laws on care giving as well as the requirements according to Book XI of the Social Code.

  • students must submit proof for the need of care giving for a close relative as well as being named their care giver on the document issued by the Care Provider or by the Medical Service of the health insurance company (a copy)

A leave of absence due to reasons other than those mentioned above will only be granted after a thorough review of each individual case; you cannot claim financial hardship as a significant reason.
